Whether your flight arrives early or is delayed*, your driver will adjust accordingly to ensure you are collected on time. Driver Details & Communication Your driver's name, phone number, and vehicle details will be sent within 12 hours of your scheduled pick-up, via email, text message, or WhatsApp. Please contact us if you have not received these details. For the best experience, we strongly recommend providing a mobile number that is available on WhatsApp or iMessage, as many of our clients have found these channels to be the most reliable way to stay updated. The driver will keep in touch and confirm their exact arrival time. If you use WhatsApp or iMessage, you will receive live updates. Please ensure your phone is switched on after landing to allow smooth coordination. If you encounter any issues, you can always reach the office or driver using the contact details provided. Meeting Points – Heathrow Airport The pick-up location at Heathrow Airport depends on the terminal where your flight lands. Our drivers provide a meet-and-greet service inside the arrivals hall at the designated meeting point for your terminal, holding a board with your name for easy recognition. Each terminal has a designated meeting point to avoid confusion: Terminal 2: WHSmith (Arrivals Hall) Terminal 3: Caffè Nero (Arrivals Hall) Terminal 4: Costa Coffee (Arrivals Hall) Terminal 5: Pret A Manger (Arrivals Hall) If you cannot locate your driver, please remain at the meeting point and call the number provided. Meeting Points – Central London Please wait in the hotel lobby or outside the main entrance of your residence at the scheduled pick-up time. Waiting Time Policy - Heathrow Airport The pick-up time selected when booking is an estimated collection time based on your flight's scheduled arrival, not a fixed pick-up time. We monitor your flight and work from its actual landing time, so your complimentary waiting period begins when you land, whether that is earlier or later than scheduled. Our aim is to collect you as soon as you are ready, without holding you to the estimated time shown on your booking. If you would prefer a fixed or later pick-up time, for example 90 minutes after landing, please let us know in advance. Once confirmed by our team, your driver will attend at the agreed time, and the waiting and no-show terms below will run from that time instead. We understand that passport control and baggage claim may take time, so our policy allows for generous waiting: Free Waiting Time: 75 minutes from the actual landing time. This includes 60 minutes to leave the aircraft, clear passport control, collect your baggage and reach the meeting point, plus an additional 15 minutes grace. Extended Waiting: If passengers do not reach the meeting point within 75 minutes, extended waiting fees will apply thereafter. Charges are applied per 15-minute slot, depending on the vehicle category, starting from £12.50 per slot. These fees cover airport parking and driver time. Payment can be made in cash to the driver or by card, via a secure payment link. Communication During Delays: Time spent waiting to leave the aircraft, passing through passport control or collecting baggage is outside our control and is included within the 75 minutes. If you experience any delay inside the airport, please contact both your driver and our team as soon as possible. Your driver will also contact you after landing, so please keep your phone switched on and connected to a mobile network or airport Wi-Fi. No-Show: If after 90 minutes from landing the passenger is uncontactable or fails to show up to the meeting point, the driver may leave the airport, the booking will be classified as a no-show, and a refund will not be possible. Where a later pick-up time has been agreed in advance, this applies from the agreed time instead. *Extended Flight Delays European and Domestic Flights If the flight is expected to arrive more than 3 hours after its original scheduled arrival time, the original booking will no longer be valid. It will be treated as a no-show and will not be eligible for a refund. Non-European Flights If the flight is expected to arrive more than 5 hours after its original scheduled arrival time, the original booking will no longer be valid. It will be treated as a no-show and will not be eligible for a refund. If the applicable delay limit is exceeded, a new booking and full payment will be required. Any replacement transfer will be subject to vehicle and driver availability. This policy applies separately from our standard waiting time policy above, which covers shorter flight delays and waiting time after the flight has landed. Waiting Time Policy – Central London We include 15 minutes of complimentary waiting time from your scheduled pick-up. If passengers don't show within 15 minutes, extended waiting fees will apply thereafter. Charges are applied per 15-minute slot, starting from £12.50 per slot. Payment may be made directly to the driver in cash or via secure payment link. No-Show: If after 30 minutes from the scheduled pick-up time the passenger is uncontactable or fails to show up to the meeting point, the booking will be classified as a no-show, and a refund will not be possible. Meet & Greet & Luggage Assistance Your driver will meet you at the designated point, assist with your luggage, and escort you to the vehicle. Assistance is provided for both loading and unloading to ensure a comfortable experience.
